1Who is allowed to use Zoom? All University staff, students and affiliates are licensed to use Zoom.
2Does it cost me anything to use Zoom? No, UON has a site license for all staff, students and affiliates. Please note: If you are using Zoom outside the UON or another free Wi-Fi service area, standard data charges will apply.
3Who needs a Zoom license? Only the host and any ‘presenters’ within the meeting need to be licensed. Attendees/participants can join with a free license/account which is really handy with those joining from outside UoN.
4Does it cost people anything to join a meeting?

Not if they are joining via the internet.

However, staff using the telephone network to dial into meetings will incur normal call charges to dial Newcastle.

5How many people can join my Zoom meeting? By default, 300 users can join your meeting for an unlimited time. Should you wish to host larger meetings, please make a request via the IT Service Portal.
6Can I use Zoom on any computer or device? Zoom works on Windows, MacOS, iOS Devices (iPhone/iPad), Android and Linux.
7Does it cost anything to use it from my personal device? If you are outside Wi-Fi coverage, normal data charges will apply. However, you can stop Zoom from using your mobile data. See the links to setting up Zoom on IoS or Android for instructions on disabling cellular data for Zoom.
8Can Zoom be used for international meetings? Yes - UON already have held or participated in Zoom meetings from over 100+ different countries.
9How do I order a headset?Purchase a headset from UON’s stationery supplier (Winc) through your office administrator.
10How do I join a meeting from a meeting room?

Option A – Standard Crestron Interface.

Option B – Older Crestron Interface.

Option C – Using VC Remote.

Option D – Zoom Rooms.

13What do I need to setup my office or small meeting room as a Zoom Room? You will need a screen, camera, additional PC and a controller (approx cost $6,000-$10,000).
14Can I still book video conferences through the Web Room Booking system and ServiceNow?

Yes, however Zoom provides self-service for those who wish to take control of their video conference experience.

15Can I book a meeting on behalf of someone else? E.g a personal assistant

16Can I use my own headset? Jabra headsets, purchased via UON’s stationery supplier, are the supported headset and recommended by IT Services. However, if you have an existing non-Jabra headset you are free to use it.

19What if the host is not available? The meeting host role can be given to someone else. Click here to view an article on how to assign the host role to another participant.
20Can I record a Zoom meeting ? Yes you can. It is recommended that you record to your local computer, however should you need to publish a link to your recording, you can use the “Record to the Cloud” option where the link will be emailed to you after the meeting ends. Note that recordings are deleted after 30 days.
21How do I know if a meeting is being recorded? A red “recording” button will appear at the top left of the screen.
