Leaving the University

As you are moving on from the University of Newcastle, we wish you all the best for your future. 

At the time you advise you are leaving the University, it is important to meet with your Supervisor to clarify what tasks you will need to complete before your last day and what you may need to handover. It is also important to ensure that any administrative tasks are finalised before you leave and critical tasks like offboarding from laboratories and high risk spaces is completed.

  1. Discuss your intention to resign or retire with your Supervisor and ensure you are providing the correct period of notice, see below.
  2. Ensure any future dated leave bookings are cancelled and approved in MyHR.
  3. Complete your resignation in MyHR To assist, we’ve created a helpful guide: How to submit a resignation in MyHR.
  4. Update your personal email address and contact information in MyHR. This ensures HR and/or Payroll can reach you if needed after your departure.
  5. Meet with your supervisor to coordinate any required offboarding including laboratory or high risk spaces and complete the Separation/Transfer Checklist form.
  6. HR Client Services will notify you when your cessation has been accepted. Follow the steps they provide to finalise employment, salary and superannuation entitlements and benefits.
  7. If you would like to offer your feedback, kindly complete the exit survey that was included in the acknowledgment of your resignation email from HR.
  8. If you wish to arrange an exit interview, please contact your HR Business Partner.
  1. You will receive an email notification once your staff member has submitted their resignation via MyHR.
  2. Ensure you approve any cancelled future dated leave bookings.
  3. Meet with your staff member and determine if any laboratory offboarding is required including disposal of high risk material and equipment. Consult the Laboratory Off-boarding Guide.
  4. Complete the Separation and Transfer Checklist.

Accessing your final entitlements and superannuation

Please consider the impact the effective date of your resignation or retirement will have on your ability to access your final entitlements.

If a Thursday payday is nominated as your last day of service this will enable your outstanding leave entitlements to be paid with this pay. If a resignation or retirement is shortly after payday leave and final salary payments may take up to 5 working days. Please be aware these time frames are subject to paperwork being received in HR in a timely manner.

Nominating a Thursday payday will also speed up access to superannuation withdrawals. If the last day of service is nominated as a Friday following a payday it will delay your access to withdraw superannuation funds for a period of between 2-4 weeks.
