NHMRC Grant Program

In 2018 the NHMRC implemented a new grant program structure. The NHMRC Project Grants, Program Grants and full suite of Fellowships schemes have been replaced with three new schemes: Investigator Grants, Synergy Grants and Ideas Grants.

In addition, the Strategic and Leveraging Grants stream has been designed to support research that addresses identified national needs as well as a dedicated funding stream for Clinical Trials and Cohort Studies.

In addition, the NHMRC continues to administer funding from the Medical Research Future Fund (MRFF).

  • Applicants are strongly encouraged to commence their application in Sapphire ASAP after the scheme opens so that they can:
    • book their preferred day for an Eligibility and Compliance Check.
    • receive a copy of the scheme Essential Instructions developed by the Research Office to assist you in the completion of your application.
  • To enable the allocation of appropriate resourcing, bookings must be made prior to the defined scheme Eligibility and Compliance Check period. Access to book an Eligibility and Compliance Check will no longer be available once the Eligibility and Compliance Check period has commenced. This does not apply for schemes with continuous rounds (i.e. ARC Linkage Projects and NHMRC Partnership Projects).
  • The University deadline for final application (the internal deadline) requires the provision of a submission-ready proposal to the Research Grants Office submitted via Sapphire, as well as a fully signed application coversheet.

Sapphire

Since February 2020, all new NHMRC schemes have opened in Sapphire, the NHMRC's new grant management system (replacing RGMS).

CI Eligibility Limits and Sapphire

Unlike RGMS, Sapphire does not contain the functionality to perform validations checks to alert the applicant or the Research Office to potential eligibility issues. Instead it relies on each CI to ensure they are not exceeding the eligibility requirements for the scheme.

The Research Office strongly recommends that CIAs ensure that their entire CI team carefully check to ensure they meet the eligibility requirement for the specific scheme – noting that for some schemes eligibility is limited to one application as CI.

The NHMRC will rule all applications ineligible in instances where any CI (CIA-CIJ) is in excess of the maximum number of grants they are eligible to apply for or hold.


COVID-19 Information

FAQs: the effect of the COVID-19 health emergency on NHMRC grant processes

NHMRC recognises that the COVID-19 outbreak is affecting many in Australia’s health and medical research community including NHMRC grant applicants and recipients and members of NHMRC Peer Review Panels.

The NHMRC has compiled a list of FAQs that are intended to address frequently asked questions from NHMRC stakeholders about the effect of the COVID-19 outbreak on applications for NHMRC funding, peer review, grant management and other NHMRC processes.

COVID-19 Travel Exemption Requests

The NHMRC has developed a process for researchers currently located overseas who are seeking to travel to Australia to commence NHMRC-funded research activities to request a letter from the NHMRC supporting their travel exemption request.

If a member of your NHMRC or MRFF grant research team is seeking a letter supporting their travel exemption request, please complete Part A in the NHMRC Travel Exemption Information Request Form and forward it to the Research Office.

NHMRC information relating to Coronavirus - Grant Variations Policy

The NHMRC recognises that the Coronavirus Alert may be affecting many members of the Australian research community, including current grant holders. If grant holder’s circumstances have changed - for example, there has been a delay in Research Activity because of involvement in the clinical or public health response, the Research Office can submit a variation request on your behalf. NHMRC Submission Procedure

  • Eligibility and Compliance Checks ARE NOT compulsory but are highly recommended to avoid application eligibility and compliance issues.
  • The Research Office is unable to provide advice on any grant or fellowship scheme after the Eligibility and Compliance Check period unless you have obtained a booking.

IF YOU DO REQUIRE AN ELIGIBILITY AND COMPLIANCE (E&C) CHECK

IF YOU DO NOT REQUIRE AN ELIGIBILITY AND COMPLIANCE (E&C) CHECK

1. Booking must be made within the allocated Eligibility and Compliance Check Period for each scheme.

Please note: a booking for a major NHMRC or ARC scheme can only be made under the corresponding scheme booking page – it cannot be made in ‘External Grants’. Multiple bookings should not be made for the same application as this impacts other researchers who are also needing to book a review. If multiple bookings are made, all but the earliest date for the review in the system.

To make a booking for an Eligibility and Compliance check for an NHMRC or NHMRC affiliated scheme. You will need a valid Sapphire Application ID for an application that has the University of Newcastle listed as the Administering Institution.

Please note: An Application ID will only secure one booking and cannot be used to make multiple bookings for the same application.

Online Booking System

1. Please be aware that the Research Office is unable to provide advice on any grant or fellowship scheme after the Eligibility and Compliance Check period unless an Eligibility and Compliance Check was completed.

Please note: Only institutional issues will be checked prior to submission to the NHMRC and you, as the lead CI, are responsible for the eligibility and compliance of your application.

2. By 9:00am on the date of the booking, you are required to ‘Certify and submit to RAO’ your NHMRC application in Sapphire.

To do this, select the 'Certification' page in Sapphire, select 'Certify and submit to RAO'.

Please note: For NHMRC Affiliated Applications (e.g. Cancer Australia and Cancer Council NSW, you are required to submit via email to research-applications@newcastle.edu.au. You will need to provide ALL separate applications to the Research Office by 9:00am on the day of your booking to secure an Eligibility and Compliance Check given the eligibility overlap of these applications.

 

3. The Research Office aims to provide Eligibility and Compliance Check feedback to the CIA of the application by email within 3 working days.

During peak periods, provision of Check feedback can take longer than three days.

4. By 9:00am on the University Deadline for Final Application date for the relevant scheme, you are required to ‘Certify and submit to RAO' your final, submission-ready application in Sapphire AND provide a fully signed coversheet and all required associated documentation to research-applications@newcastle.edu.au

For NHMRC Affiliated Applications (e.g. Cancer Australia and Cancer Council NSW), you are required to submit via email to research-applications@newcastle.edu.au.

Please note: The Research Office is unable to seek institutional approval to submit your application and submit to the NHMRC until a completed, fully signed coversheet is received and all institutional requirements are met.

5. The Research Office will check institutional requirements, seek institutional approval to submit and if obtained, submit your final application to the NHMRC

  • Eligibility and Compliance (E&C) Checks are completed electronically.
  • If you opt not to book an E&C Check, only institutional issues will be checked prior to submission to the NHMRC and you, as the lead CI, are responsible for the eligibility and compliance of your application.
  • To enable the allocation of appropriate resourcing, bookings must be made prior to the defined scheme Eligibility and Compliance Check period. Access to book an Eligibility and Compliance Check will no longer be available once the Eligibility and Compliance Check period has commenced. This does not apply for schemes with continuous rounds (i.e. ARC Linkage Projects and NHMRC Partnership Projects).
  • No application is approved for submission without the provision of a completed, fully signed application coversheet (DOC).
  • Please ensure that all University of Newcastle cash and in-kind contributions including those that are approved by Research and Innovation Division (central) are listed on your coversheet. If a cash or significant in-kind contribution is made from a source other than College/School/Central, please ensure you provide an email from the authorised University representative confirming the provision of this cash and/or in-kind contribution to the application.
