Preparing to graduate

Your graduation should be a great day for you and your family, and one that runs as smoothly as possible.

With around 8000 students graduating from the University each year, there are parts of the process that are your responsibility.

So while finishing your coursework and successfully completing your final exams and assessments is the hard part, there are still a few steps you need to take before you graduate.

Graduation checklist

  • Ensure graduation eligibility
  • Ensure your name is your full legal name and is spelled correctly
  • Ensure your personal email account is listed as your preferred email address is listed in myHub
  • Register for graduation and ensure details are filled out correctly
  • Advise if not attending and plan to collect your documents (if applicable).

Graduation eligibility

Congratulations, you have been identified as a potential graduate. In order to complete your program, you must complete all program requirements and have your grades finalised. This includes Honours thesis, placement courses, and Industrial Experience.

Please review your program requirements for further information.

Note: If you have not completed all of your program requirements by the required cut off date (advised in your graduation invitation), you will be unable to attend graduation.

Email address

Prior to graduating from the University of Newcastle, you should ensure your personal email account is listed as your preferred email address in myHub.

You will only retain access to your University of Newcastle student email account for 270 days post-graduation before the account is deactivated.

Registration information

A personalised invitation will be sent to your preferred email address six weeks prior to your ceremony. We do not send invitations by mail.

Check that the invitation shows your full legal name and qualification details correctly. If your name is incorrect you will need to submit a Change of Details form by the date provided in your graduation invitation.

To register, simply follow the links to the REED Graduation online registration system. You’ll be asked to indicate whether you wish to attend your ceremony, defer (for up to one year), or not attend. You can also choose whether to collect your documents from campus or have them mailed to you.

Registration to attend is complete once payment for your graduation package has been processed and you will receive a confirmation by email. If you do not receive a confirmation at the time of registration please email us at graduation@newcastle.edu.au.

Late registration

If you decide to attend after the closing date has passed, you need to apply to graduation@newcastle.edu.au, providing evidence of any hardships that prevented you from registering on time, or of having made significant travel arrangements prior to the cut-off date.

If your late registration application is approved, there may be an additional processing fee of $100.

Not attending a ceremony

If you are not attending your graduation ceremony, please advise us of this after receiving your invitation, using the online registration system.

If you have already registered and cannot attend, please advise the Graduation team by email graduation@newcastle.edu.au no later than 48 hours before your ceremony to be eligible for a refund of your graduation package.

For Singapore graduates who have already registered but are unable to attend, requests for refunds are considered, however an administration fee may apply.

Deferring your graduation ceremony

When you receive your invitation, you can choose to defer your graduation ceremony by up to one year.

In these cases, your graduation documents will be held at the Graduation Office until you attend a ceremony.

Collecting your graduation documents

You can nominate to either pick up your graduation documents in person, or have them posted to you. In either case, you’ll need to wait until after the graduation ceremonies have concluded to receive your documents.

A digital copy of your testamur, official academic transcript and Australian Higher Education Graduate Statement (AHEGS) will be made available to you via the My eQuals system when your graduation documents have been posted or are available for collection.

If you have not responded via the online graduation registration form, email graduation@newcastle.edu.au with your choice of either collecting your documents or having them posted to you.

You cannot receive your documents – by post or in person – if you have a debt owing to the University. For more information regarding debts email: debtors@newcastle.edu.au

You can nominate to collect your graduation documents at Callaghan Student Hub (Callaghan Graduation Ceremonies) or from the Information Resource Centre (IRC1.01), Ourimbah campus (Central Coast Campus Graduation Ceremonies only) when you register through the online graduation registration form. These locations are open from 9 am to 5 pm, Monday to Friday.

You will receive an email when your documents are ready and a link to book a date and time for collection. You will need to bring photo ID to collect your documents.

You can choose to have a family member or friend collect your documents. Simply provide written authority from your University email account to graduation@newcastle.edu.au and include the following:

  • your name
  • student number
  • full name and date of birth of the person collecting your documents

Please let the person collecting your documents know they will need to provide their photo ID and sign a statement.

If you have nominated to have your graduation documents mailed through the online graduation registration form, these will be sent by registered post (domestic) or courier (international) to your nominated address between three and six weeks after your graduation ceremony.  Please ensure you have provided your full address* and phone number in your response.

You will receive an email when your graduation documents have been sent.

If you did not respond to via online graduation registration form, please email graduation@newcastle.edu.au and provide your postal address*, phone number and preferred email address.

*Please note, graduation documents cannot be sent to a parcel locker.
