Research Administrative Systems

Many administrative systems exist to assist researchers with varying aspects of their research workflow.

What is it and how do I get it?

When should I use it?

What caveats or obstacles are there?

ARC – Research Management System (RMS)
https://rms.arc.gov.au/RMSExternal/pages/
main.jsf

All applications, assessments and rejoinders are submitted using the ARC Research Management System (RMS). This systems manages movement/transfers of researchers between Universities.

ARC schedules maintenance windows during which time access to RMS is not possible.

Callista – Research Publications
http://www.newcastle.edu.au/service/research-performance/publications.html

Central database for research publications. The publications component of the HERDC submission is drawn from this database.

NHMRC - Research Grants Management System (RGMS)
http://www.nhmrc.gov.au/grants/rgms/
index.htm

NHMRC grant applications are completed and submitted on-line. Applicants also complete an ‘RGMS Profile and CV’ – components of which automatically populate grant applications. In addition, endorsement and certification of each application is completed on-line by the Chief Investigator and Research Administration Officers. Post-award Information (payment dates/amounts, reporting, outstanding conditions) on all grants is also available for Research Office only use. Outcomes are also available to researchers in RGMS.

NHMRC schedules regular maintenance windows during which time access to RGMS is not possible. The NHMRC are in the process of releasing the system to finance staff to manage all payments to the University. Also will eventually manage all reporting to the NHMRC by researchers and finance as well as variations/transfers.

(NHMRC)

NOVA
The University of Newcastle's institutional digital repository. The repository promotes research by making UoN content accessible, searchable and discoverable by the global research community. Where possible a full-text publication or research related output will be made available, in-line with the appropriate copyright permissions and the copyright owner as relevant to each work.

manager/Index

Use the University's digital repository to search for datasets and publications. This service is available to assist with central storage, management and access to research and research related outputs and resources of the University of Newcastle, its staff, students and affiliates.

Only datasets below a certain size will be stored directly in Nova, larger datasets are linked to an external data store.

Profile Webpage
www.newcastle.edu.au/staff/research-profile

Drawn from existing data contained within RPM to provide an automatic researcher profile.

View only.

RAMS (Research Animals Management System)

Order and track research animals and associated charges.

New system currently being developed.

UoN Supplied

ReDBox

To register a dataset for inclusion in the Australian Research Data Commons.

ReDBox does not store datasets, it is a system for collecting and storing metadata about static datasets.

RIMS (Research Information
Management System)

Central database for research grants, animal ethics and human research ethics. Use to check on status of projects. eForms to apply for animal ethics and human research ethics are being developed.

Researcher access coming soon.

RPM (Research Portfolio Manager)
www.newcastle.edu.au/division/research/
era/research-portfolio-manager.html

The information contained within this system is used for ERA and to populate the online researcher profiles. RPM harvests data from RIMS and NOVA. Researchers can also enter their own data.

Supanova
A rich media annotation and publishing environment designed for the presentation and peer review of creative work and the non-textual representation of research.

It is currently used as the official repository for the University of Newcastle's submission of creative work outputs within cluster 2 of the ERA.

For capturing, displaying and outlining the research content of creative works.

Currently this service is only being utilised for ERA. Researchers are required to submit data to Supanova will be contacted by the ERA team.
