Academic Annual Leave Objectives

The academic annual leave objectives are:

• To exhaust the current year’s Annual Leave accrual during that year
• To reduce any Academic Deferred Annual Leave accruals from previous years

A staff member accrues annual leave on a daily basis at the rate of 20 days per year of full-time service (or pro rata for part-time or part-year service). 

Staff are expected to take all the annual leave that they have accrued in a particular calendar year within 20 working days following the commencement of the University’s annual Christmas Closedown. 

Academic annual leave is commonly taken in the non-teaching period during December/ January each year.  However, annual leave may also be taken at other times during the year with the approval of the staff member’s Head of School or supervisor.  In these circumstances the staff member will normally take annual leave in non-teaching periods.


Booking through HRonline

From 1 February 2013, academic staff are required to book all annual leave in HRonline.  If annual leave bookings are not made in HRonline within 20 working days following the commencement of the Christmas Closedown, the leave will be deemed to have been taken.  Leave balances will then be adjusted accordingly.  Link to HRonline: https://hronline.newcastle.edu.au

Academic Deferred Leave

In exceptional circumstances, a staff member who cannot use all their annual leave accrued in a particular year may apply for a credit for the unused portion by completing an “Accrued Annual Leave- Unused Credit Request (Academic Staff)” application form.  The application form, and an accompanying leave plan, need to be submitted to the Head of School no later than 31 January the following year. 

Once approved by the Head of School and PVC, the application form and leave plan will be forwarded to Human Resource Services for recording in HRonline.

Note: Some academic staff will also have Academic Deferred Annual Leave balances appearing in HRonline.  This leave can be booked through HRonline or via the Annual Leave application form.
