To create awareness, then interest and demand for your new project, process or product then you need to plan how you will communicate and educate your new offering to your target audience. The communication and training requirements for your target audience need to be considered at the outset of your project, they also need to be constantly monitored and reviewed throughout the life of the project. Below are three documents that provide definitions on project management terms and guiding principles to help you identify communication and training planning and delivery.
The Organisational Development Team and the Change Management Office have developed a series of project tools to assist Project Managers and Project Officers in managing and reviewing communication and training requirements for all types of projects. These tools comprise of templates that can be applied for any small to large scale project.
The Communication Strategy is used to identify the key messages and the stakeholders that these messages will be directed at, in order to raise awareness and understanding of this project through the development life cycle.
The Communication Plan is the roadmap used by the project to execute the Communication Strategy. The Communication plan should detail method, timing and persons responsible for all aspects of each project stage.
The Communication Strategy is used as input into the Communication Plan so it is recommended that this be undertaken first. To ensure the Communication Strategy has been distributed to all relevant staff and that they have approved the actions contained within it, the document titled ‘Document Distribution and Information’ should be completed.
The Training Strategy outlines the key stakeholder groups who will receive training as part of the implementation of your project.
This Training Plan identifies the type of training that will be delivered to what group, training timelines, who will deliver the training and what training materials will need to be developed and by whom. Review the information in the Training Strategy first before completing the Training Plan.
For projects that are small, or are medium but with low risk, there may be no Training Strategy.
