What can be deposited

University of Newcastle theses only, PhD or Masters by research.

Theses may also be submitted for inclusion in the Proquest Digital Dissertations database - more details are available at About Proquest Digital Dissertations, or contact your Faculty Librarian.


Copyright issues

Please check your thesis for any material that is subject to copyright. For example, if you have used any illustrations, tables or photographs that are not your own creation, you will need to obtain written permission from the copyright owners for online publishing. If you cannot obtain written permission, then those sections should be removed from your thesis prior to conversion to PDF.


Theses format

Before depositing your thesis you will need to convert it to PDF format. This format is the ADT Program's preferred document standard. It allows for relatively easy conversion and is readily accessible cross platform using the freely available Acrobat Reader software program. It also offers high levels of document security.

Acrobat is loaded on computers within each Faculty. A free service which allows you to create up to five PDF files is available at the Adobe site. If you would like assistance in converting your thesis, or if you do not have access to Acrobat please contact the ADT Co-ordinator.

Naming files

It is important that you follow the ADT standard format for naming your files. You need to create at least two files and convert these to PDF format.

01front.pdf includes the title/author information; abstract, acknowledgements; table of contents; introduction; preface and any other introductory text that is not part of the main body of the thesis.

02whole.pdf contains the entire thesis including what is contained in the 01front.pdf file.
or:
If the thesis is large then it is better to divide the thesis into chapters or groups of chapters, e.g. 02chapter1.pdf, 03chapter2.pdf; or 02chapters1-5.pdf, 03chapters6-10.pdf.

Note: Names of files and folders must not include any spaces. For example, if your thesis is on your computer in the folder C:\my documents\thesis\ it will not upload. You will need to move the pdf files to a new folder which consists of one word, e.g., C:\thesis\.

If your files are not named correctly they will not upload.

PDF security settings

It is a requirement that PDF files submitted to the ADT Program are created without any security settings in place. The Newcastle ADT Administrator will control and oversee document security is in place fro each thesis before it goes into the public view. The default security settings that the ADT Administrator will place on all theses will be read and print only, with no changes to the document possible.

When saving your PDF file, please ensure that the Security box on the bottom left-hand of the 'Save As' screen has 'None' selected.


Restricting access to your thesis

The ADT ideal is unrestricted worldwide access, however, there are circumstances when theses need to be restricted wholly or in part, for varying periods. The options available for the ADT Program are:

Please Note: Partial restriction is not available via the deposit form and you will need to identify the files concerned to the ADT Co-ordinator.
