Purchasing Cards
The University provides a Visa purchasing card facility to supplement its traditional methods of procuring goods and services. The University Visa should be used to facilitate the payment of low value, high volume goods and services with those vendors who accept payment by credit card.
The University uses an Expense Management System, Spendvision, to manage your Purchasing card transactions.

Steps to complete card application:

Download Purchasing card application form

Read Purchasing card policy taking note of the items that are restricted purchases on the card

Complete University Application form, acquiring all necessary approvals - (Band 4 or higher i.e. PVC / Director Level)

Send Application to: Card Services, The Chancellery, Callaghan Campus

Once the approved University application is received at card services, the card will be ordered. The card may take least 10 working days to arrive. Please ensure you leave sufficient time to receive the card if required for travel purposes.
You will be advised when to come and pick the card up (Drivers Licence or Passport required to be shown).

Verified by Visa website (download the guide from link above) and register for added on-line security with selected merchants

If you require an increase in your purchasing card limit you will need to provide a business justification and approval from your PVC, Director or DVC to

To ensure your request for a limit change is processed at the bank, please provide your request and approval by 3:30pm to the
spendvisione3helpdesk@newcastle.edu.au email address. Otherwise the request may not be actioned until the following business day.

If you intend to travel internationally, you must have a University Credit Card when you travel as per travel and purchasing card policies.

If you intend to use your card whilst travelling in the UK, merchants may ask you to enter your card Pin to complete the purchase. Currently Australian Card providers do not provide pins for purchases. Please inform the merchant your card is issued in Australia and you will need to sign for the purchase.
