Candidates are required to re-enrol in Semester 1 and Semester 2 every year unless they take approved leave of absence or withdraw from candidature. They are also required to re-enrol on return from leave of absence. It is an individual responsibility to check ‘myHub’ each semester to ensure that enrolment and personal details are correct and to pay any student fees or charges.
Please note: The Office of Graduate Studies still manages enrolment in approved coursework.
An overdue notice will be sent to your @studentmail account by the system if you have not re-enrolled in your research program by 1 February 2008. If you have not completed online enrolment by 31 March your enrolment will be deemed to have lapsed unless an approved request is received for Leave of Absence or you submit your thesis.
You must be enrolled to submit your thesis.
If you take approved Leave of Absence OGS will contact you prior to your expected return with re-enrolment advice.
Semester census dates still apply for variations to candidature - 31 March for Semester 1 changes and 31 August for Semester 2 changes.
You cannot enrol or re-enrol if you are indebted (library fines, tuition fees etc). Click on My Accounts to view any outstanding invoices. If the debt is less than $250, upon receipt of your written request, the Office of Graduate Studies will process your enrolment on your behalf.
You cannot amend your enrolment from full-time to part-time or vice versa – you’ll need to notify the Office of Graduate Studies in writing to request this change.
You cannot enrol part-time if you are an International student or a scholarship holder. Approved exceptions to this will be managed by the Office of Graduate Studies.
You cannot enrol in coursework. Enrolment in approved coursework will be processed by the Office of Graduate Studies.
If your postal or home address changes or you get a new phone or mobile number you can now amend this immediately using myHub. Log in, click the Address link and edit and save your new details. It is crucial that the University has accurate contact details for all candidates at all times, please keep this information up to date.
You can view accounts and make payments online.
You can view your program, School, Faculty, research topic, supervisors, submission due date, scholarship stipend and scholarship end date.
Candidates can also view new candidature application outcomes and accept, defer, decline and enrol online. Scholarship offers can be actioned online.

The best screen resolution for viewing myHub panels is 1024 x 788. To change your screen resolution go to My Computer, Control Panel, Display, Settings, Screen Resolution.
Q. What if I don’t know my student log in and password?
Your log in is your student number, prefaced by a ‘c’. If you don’t know your password contact IT Service Desk email 17000@newcastle.edu.au or phone 49 217000 to have it re-set.
Q. What if I expect to submit my thesis during the year?
OGS will automatically amend your enrolment upon submission of your thesis so you should enrol for the whole year. If submission is prior to census date, your enrolment will be dropped for that semester.
Q. What if I’m on approved Leave of Absence or intend to take leave?
Leave of Absence is processed by OGS for the approved duration. You are still required to self-enrol for all other periods.
Q. What if I don’t enrol for one semester or longer without being on approved leave of absence?
Your candidature will be deemed to have lapsed and you will be required to re-apply for admission.
Q. I am required to enrol in coursework as part of my RHD, how do I do this?
Coursework must be authorised at the time of offer or via a variation and this component will be processed by OGS.
Q. I want to withdraw from my studies, how do I do this?
Notify OGS in writing and we will process your withdrawal and confirm the transaction to you in writing.
