Authors and Affiliations

A by-line does not show the University of Newcastle as the affiliated institution. Can I claim this publication?

Yes. If a publication affiliates an author with another institution, but the research was undertaken at the University of Newcastle, a Certification of Affiliation must be completed by the author and reatined with the verification evidence for the publication.

What do I do when a by-line shows the University of Newcastle and another university?

Each university may claim the full value of the authors at their institution.

Can the University include publications of visiting researchers?

Yes - if the visiting researcher undertook the research whilst at the University of Newcastle. If the University is not mentioned in the author by-line, please contact publications@newcastle.edu.au for verification evidence required.

Do I enter author names in the same order as on the publication?

Author names are always entered in the order they are listed on the publication.

Publications

I have a journal article which was also published as a book chapter. Can I claim both of these?

A publication may only be claimed once, regardless of whether it was published in a different year in another format.

Books

Can I claim a revised edition of a book?

Generally - no. The Draft 2007 Specifications preclude revisions or new editions to be counted as Books in the DEST category A1. However, revisions may be eligible for inclusion in the non-DEST category "A3". Please refer to the University of Newcastle specifrications for more details.

Can I claim a textbook?

If any part of the book refers to it as a 'textbook', it would generally be excluded from the DEST category "A1". Textbooks are usually considered to be a synthesis of original research, not the result of original research.

The non-DEST category "A2" does allow for the inclusion of textbooks, as long as the textbook consists mainly of new combinations of exisiting knowledge or updating of a body of knowledge, and is aimed primarily at a university level audience.

Archiving Publications

The DEST specifications (clause 9.7) stipulate that verification material for the University's publication collection must be retained for three years. This material can be subject to audit at any time in that period. While this requirement relates to DEST publication categories (A1, B1, C1 and E1), it should also be applied to those additional categories recognised by the University only.

The three year retention should be interpreted as being COMPLETED years. This means, for example, that while the collection for publication year 2007 is still open and therefore not complete, Schools should be holding verification material for the completed years of 2004, 2005 and 2006. Once the 2007 collection is completed, 2004 publication verification material can be discarded.
