Forms and Guides for Storing and Destroying University Records

All staff members can access the following forms:

Off-site storage of long-term University Records

To assess records for off-site storage suitability, please download and complete the Records Assessment Form, and return the completed form to Records Governance Services records@newcastle.edu.au electronically.  For additional  information on how to complete the Off-site Storage Assessment form please refer to the Sending Records To Off-site Storage Guide.

The request will be assessed and a member of RGS will send you an email to arrange the collection of the records, or provide relevant advice.


Record Destruction Authorisation

To request the destruction of records (paper or electronic), please complete the 'Record Destruction Authorisation' Form, and return the completed form to Records Governance Services (RGS) electronically.

The request will be assessed and a member of RGS will send you an email to approve the destruction of the records, or provide relevant advice. Please do not destroy documents before receiving instructions to do so.


Record Destruction Authorisation Form - For Digitised Original or Sourced Records

To request the destruction of paper records that have now been scanned and saved into TRIM, please complete the 'Record Destruction Authorisation for Original or Source Records that have been Scanned / Digitised / Imaged' Form, and return the completed form to Records Governance Services (RGS) electronically.

The request will be assessed and a member of RGS will send you an email to approve the destruction of the records, or provide relevant advice. Please do not destroy documents before receiving instructions to do so.
