Company Registration and Inductions

Before working at the University as a contractor, sub-contractor, consultant, or supplier; you must register, pre-qualify, and be approved with the University.  All employees of these companies who will be performing work on university sites must also be registered, with appropriate licenses uploaded and inductions completed.

Visitors don't need to register or undertake an induction if they are fully escorted by an appropriate officer and the activity is a once-only event of short duration.

Company Registration

Before you start work on any University campus, a company must:

  1. Register in the University Contractor Management System - Beakon
  2. Complete the Prequalification document
  3. Upload a copy of your Workers Compensation Insurance
  4. Upload a copy of your Public Liability Insurance
  5. Upload a copy of any required Licenses

Your University of Newcastle Representative is the University staff member who engaged you to do the work and is your key contact at the University.

Contractor Employee Registration

Before you start work, you must:

  1. Register in the University Contractor Management System - Beakon
  2. Be approved as an employee by your nominated Company
  3. Upload a copy of any required Licenses or Documents
  4. Undertake and complete Inductions assigned to you by the system

When registering in the University Contractor Management system - Beakon, it is important to select the correct skills for the type of work you will be undertaking for the University. The system automatically assigns license, certificate and document requirements, and Inductions based on the Skills selected.  If required, your University Representative may assign additional requirements and/or inductions.  All inductions are valid for 12 months.

  1. General Contractor Induction - mandatory for all Company and Company employees who are not University employees.
  2. SK Key Induction - required if your work requires you to access University mechanical plant rooms and electrical switch rooms (Controlled spaces).
  3. Contractor Rules for Student Accommodation (Callaghan & Ourimbah) - required if your work requires you to access student accommodation locations.
  4. Restricted Space Induction for Contractors - if your work requires you to access any of the University's Restricted Spaces.
  5. NIER Level 3 Restricted Area Induction - if your work requires you to access any of the NIER Level 3 Restricted Spaces.
  6. LV Substation Induction - to be undertaken by contractors accessing University Low Voltage (LV) substations (Electricians only).
  7. High Voltage (HV1) Induction - to be undertaken by contractors accessing University High Voltage (HV) substations (Electricians only).
  8. Cleaners Induction - to be undertaken by contracted cleaning staff.

If you are working on a restricted or controlled site, you may need to complete a local site-specific induction.

Contractors who require keys and access to buildings will need to obtain a contractor photo ID card, this can be collected from the Infrastructure and Facilities Services Office located in the Services (SER) building at Callaghan campus.  The University will cross check all company and employee records are compliant prior to issuing an ID card and associated key cabinet access.
